Schedule and approve sends

Understand AdSpark planning: scheduled sends, AI proposals, Copilot approval, cancellation and channel limits.

Planning shows scheduled sends and proposals to approve. You can prepare a week with AI, schedule ready channels from the editor, move a send, cancel it or send it now.

What exists

7-day calendar, channel/status filters, Copilot queue, validated Sparks to schedule and actions to edit, cancel or send now.

What stays controlled

AI proposals must be accepted before campaigns and sends are created; review-only sends are not processed while they stay pending approval.

What not to confuse

Automations / triggers are not a mature promise yet: this guide documents real scheduled sends, not placeholder triggers.

Three ways to fill planning

AdSpark fills planning from actions that already exist in the product. The right path depends on where you are in the campaign.

From the editor

Schedule opens a modal with date, time, selected channels and already locked channels.

From Planning

Validated Sparks to schedule reuses ready content and lets you pick a date for one or several channels.

With AI

Prepare my planning creates Copilot proposals to review before they become campaigns and scheduled sends.

From My Sparks

Already scheduled campaigns point to planning so you can change the time or follow their status.

Schedule from the editor

The Schedule modal creates one send per ready channel. It keeps campaign, market and destination context when available, then spaces several channels by a few minutes.

Ready channels

Only channels available in the editor can be selected. Channels already scheduled, sent or blocked stay visible as locked.

Date and time

Choose today, tomorrow, this week or a precise date, then a time slot.

Busy days

The mini calendar shows an indicator when sends already exist on a day.

After confirmation

The send appears in planning. You can still change the date, cancel or open the full planning view.

Prepare planning with AI

On the Planning page, Prepare my planning asks AI for a weekly proposal. In this flow, AdSpark forces a visible Copilot review before final save.

Proposals

Each proposal contains a topic, channel, time slot and short reason.

Accept

Accepting a proposal creates the matching campaign and scheduled send.

Reject

You can reject one proposal, reject all or generate a new proposal.

Manual mode

In manual mode, no automatic send is created: you start from a campaign or a validated Spark.

Edit, cancel or send now

The calendar shows the displayed week, sends outside that week and statuses. Available actions depend on the send status.

Move

A pending send can be rescheduled from Change time; on desktop it can also be dragged to another day.

Cancel

Pending and approval-pending sends can be cancelled. The channel becomes ready again if the content still exists.

Send now

A pending send can be launched immediately instead of waiting for its planned slot.

Filter

Filters help isolate Email, Instagram, Facebook, LinkedIn, WhatsApp, Google Business, scheduled, approval needed, failed or sent.

What actually goes out

The scheduler processes pending sends when their time approaches. It marks the send as processing, attempts delivery or publishing, then marks it sent or failed.

Processed channels

The planning engine can send email and publish to Meta or Google Business when connections and destinations are ready.

Careful channels

LinkedIn and WhatsApp may remain copy/export flows depending on configuration; do not treat them as guaranteed automatic publishing.

Failure

If a connection, destination or channel is missing, the send becomes failed with an error to fix.

Email recipients

Before scheduling email, check contacts, consent and the active sending destination.

Best practices

Good planning mainly prevents surprises: wrong channel, wrong timing, unchecked contact list or assuming automation is broader than it is.

Review first

Only schedule reviewed content, especially when the offer includes a date, price or local constraint.

Start simple

At first, schedule fewer sends and use Copilot or manual mode to keep the rhythm under control.

Watch failures

After the planned time, check failed statuses and use connection troubleshooting when needed.

Do not confuse

A scheduled send is dated distribution; condition-based business automation is a separate workstream.
